Support Coordinator Internship

Support Coordinator Job Description:

We are looking for an experienced and enthusiastic support coordinator to join our team. You will be responsible for helping our CEO and board members stay organized so they can focus on driving the organization. Using various tools, you will make the day-to-day run smoothly. You will leverage relationships to coordinate calendars, take minutes and follow up on actions, prepare documents for meetings, make travel arrangements, and contribute to ad hoc projects.

A successful candidate will be an excellent communicator, a diligent researcher, highly resourceful, and a team player. You will be an active participant in creating a safety net for the organization by implementing a conscious process that will be relied upon to ensure nothing slips through the cracks.

Support Coordinator Responsibilities:

  • Answer phones, respond to emails, and greet visitors.
  • Schedule appointments and maintain calendars.
  • Schedule and coordinate meetings.
  • Prepare communications such as memos, emails, invoices, reports, and other correspondence.
  • Write and edit communications, such as letters, reports, and instructional documents.
  • Create and maintain filing systems, both electronic and physical.
  • Manage accounts and perform bookkeeping.
  • Responds to and resolves administrative inquiries and questions.
  • Performs other related duties as assigned.

Support Coordinator Requirements:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent attention to detail and organizational skills.
  • Experience using Microsoft Office Suite and related software.
  • Experience with clerical procedures and systems.
  • Ability to work independently while maintaining a consistent and dependable sense of urgency.
  • Must have transportation and be willing to travel around the local area.
  • Must be able to lift up to 15 pounds at times.

Training:

Training will include an initial orientation, weekly one-on-one mentor meetings, an overview and contextualization of assigned tasks, job shadowing, skills training, and supervised practice with live-work.

Additionally, the following will be conducted:
- Explanation of the goals and the methods used to gather information, and ongoing discussions on the importance of prioritizing and scheduling.
- Ongoing job-shadowing for close observation and practice on how relationships are formed and maintained.
- Explanation and practice on how to relay information and represent the organization to the public via the different social media platforms.
- Will provide job-shadowing and support in-person experience to demonstrate the skills needed to effectively address the public and their needs.

Learning Outcome:

Handle administrative requests and queries from senior managers, including the CEO and board members. This includes preparing reports and maintaining appropriate filing systems.

Organize and schedule appointments using administrative software. This includes making travel and meeting arrangements.

Plan meetings, take detailed minutes, complete follow up, and anticipate unforeseen needs to ensure the efficient and smooth day-to-day operation of the organization.
