Administration Assistant InternAt — Door of Hope Youth and Family Resource Center

Opportunity Summary 

The administrative manager coordinates all strategic plan meetings, arrange travel, schedule appointments, and secure transportation, create and provides agendas and all materials. Maintains a positive working environment through organization and supports day-to-day functioning through general office support, administrative and support management. The manager will be a team player and seek ways to support our staff and the overall functioning of the Door of Hope Youth and Family Resource Center. The environment may, at times, be fast paced with interruptions, distractions, and deadlines. 

Tasks
1. Communicate positively and clearly with the executive director.
2. Complete duties assigned by the executive director.
3. Meet established deadlines and timelines.
4. Maintain satisfactory attendance to work shifts, staff meetings, and other assigned agency functions.
5. Complete needed training by established deadlines.
6. Overseeing the work of all office employees to ensure they work productively and meet deadlines and Door of Hope standards.
7. Answering telephone calls and emails from donors and families and directing them to relevant staff.
8. Interviewing and training new volunteers and organizing their volunteer paperwork.
9. Maintain donor database.
10. Prepare for and attend board meetings (every month).
11. Assist in organization of/ attendance to events, meetings and fundraisers as assigned.
12. Monitor and report grant funds; assist with grant applications and research as needed.
13. Organize and maintain HR files.
14. Support daily functioning of building/ office.
15. Greet visitors and clients in a positive and professional manner at office and via phone.

Training
Firstly, will be conducting an orientation training session with the executive director and human resources team. This session will ensure that our intern is well-informed about the organization and its operations. Secondly, we have planned a Maxwell Leadership Training to help identify and develop strengths and weaknesses. This will enable our interns to enhance their leadership skills and excel in their roles. Additionally, our interns will have the opportunity to partake in ongoing one-on-one mentoring training alongside our dedicated Executive Director. This mentorship will provide invaluable guidance and support throughout their internship journey. Furthermore, as part of their development, our intern will engage in monthly training sessions with the team. These sessions will cover various topics and provide a holistic learning experience. Lastly, we will organize workshops and additional training opportunities as they arise. We believe in continuously improving our interns' knowledge and skills, and these workshops will contribute to their professional growth.
