Opportunity Summary 

Position Overview:

We are seeking a motivated and dedicated Intern to join our team. The Intern will assist the Human Resources department in various administrative tasks and projects. This position offers a unique opportunity to gain hands-on experience in HR operations within the context of a vibrant community college setting.

Responsibilities:
 

  • Assist with recruitment and onboarding processes, including job postings, applicant tracking, applicant screening, scheduling interviews and serving as EEO representative on interviews.
  • Support HR staff in maintaining accurate employee records and databases.
  • Assist in organizing and facilitating employee training and development programs.
  • Aid in the coordination of employee benefits administration and enrollment processes.
  • Assist with drafting HR policies, procedures, and documentation.
  • Provide administrative support for HR-related projects and initiatives.
  • Assist in periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Other duties assigned by HR leadership.

Qualifications

Qualifications:
 
Current enrollment in a Bachelor's or Master's degree program in Human Resources, Business Administration, or a related field.
Strong attention to detail and organizational skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint).
Ability to maintain confidentiality and handle sensitive information with discretion.
Prior internship or work experience in HR is preferred but not required.
Knowledge of California labor laws and regulations is a plus.

Tasks, Projects, or Assignments
1) Student will be able to accurately interpret job applications to ensure candidates meet minimum qualifications to be considered for a position. (Check for understanding by reviewing students screening)
2) Students will be able to recognize patterns in job descriptions, understand that there are job series/progressions, overlaps between different job families and understand the difference in the different levels in a series/progression (Check for understanding in student’s data gathering)
3) Student will accurately enter name/address changes (Check for understanding in data entry practices)
4) Students will be able to accurately scan and upload employee files (Check for understanding in organization and naming conventions)

Training:

1) Will review every application student has screened for accuracy and interpretation of job duties, and explain what they might have not seen on application materials.
2) Will review student’s notes for interpretation and teach them how to analyze job duties.
3) Will review records for accuracy
4) Will review records for uniform naming convention and make sure they are following established process
5) Will meet with student weekly and daily

Learning Outcomes:

1) Review employment applications and job orders to match applicants with job requirements.
2) Performs job audits and reclassification request analyses of individual positions, classes, and series of classes.
3) Update Employee Records
4) Create Digital Employee Files
