Shadow/Assist Wedding Coordination Team. Managing time, setting up personal items, helping the clients with their needs, directing guests

Position is remote during the week and in person on Friday, Saturday or Sunday depending on events booked
\n
Must be able to be on your feet for 5+ hours at a time. Must be able to lift 10 pound boxes.
\n
Tasks:
\n
pin boutonnieres on groom and groomsmen
coordinate with photographer during bridal pictures to ensure bride and groom do not cross if there is no first look
set-up items (but not limited to) listed below at wedding venue
ceremony items
guestbook
place cards
card box
menus
programs
favors
candles
table décor
sweetheart table décor
table numbers
\n
ensure bride and groom leave to the venue in a timely manner
greet vendors as they come to set-up and make sure they are setting up/doing what they were contracted to do
recount the chairs on each table to make sure it is the correct amount
assist vendors if needed in set-up
make sure DJ has correct songs for all of the events
pass out remaining vendor balance
collect bridal party and parents before the ceremony to line up for the processional
orchestrate the ceremony
post-ceremony:

collect items left over at the ceremony site
bring gifts and card box inside reception room in a safe spot
ensure family pictures, bridal party pictures, and portraits are done during cocktail hour
collect bridal party for grand entrance
make sure the following events happen according to the timeline:
grand entrance
first dance
mother/son dance
father/daughter dance
bouquet toss
garter toss
slideshow
money/honeymoon dance
table greetings
cake cutting
bride + groom thank you speech
maid of honor + best man toasts

start packing away items half an hour before the event is over
put all of the bride and groom’s belongings in appointed car
walk through with venue coordinator to ensure it is all cleaned out
\n

- Weekly Zoom calls to go over the upcoming events over the weekend
- Shadowing wedding coordination
