The Accounting and Administrative Operations Supervisor plays a vital role in supporting and optimizing the administrative and accounting operations of the organization. Serving as a key contributor to these functions, the position works closely with the administrative and accounting teams to ensure organizational efficiency and success. Reporting directly to the Administrative Operations Manager, this role encompasses a wide range of responsibilities, including operational oversight, financial management, staff supervision & training, and logistical coordination.
Tasks:
• Oversee regional operations to ensure the team meets expectations and aligns with overall company goals. This includes task delegation and reporting on regional performance to the direct supervisor
• Providing guidance and support to team members by facilitating training and ensuring skill development, encouraging a collaborative team environment
• Overseeing financial transactions related to construction projects to ensure accurate revenue recording and bank reconciliation.
• Providing client support and partnering with external field users and vendors to facilitate seamless project execution.
• Ensuring alignment and accuracy of financial records to support efficient spending tracking.
• Overseeing the logistics operations to ensure smooth and timely shipping and correspondence management.
• Collaboration with Senior Accountant and Controller to assist in research and reporting.
• Supporting accounts payable functions, including payroll review, vendor reconciliations, and payment processing.
• Ensuring accurate financial data integration and reconciliation across accounting systems (Dynamics and proprietary system).
• Overseeing and maintaining the payables schedule to ensure timely and accurate payments.
Training:
- Ongoing mentorship and check-ins with Rayann for feedback and accountability
- Encouraged collaboration with other leads and management to exchange best practices
- Ongoing training for staff development and feedback sessions
Learning Outcome:
• Team Development & Feedback: Conduct structured 1:1 or check-ins with each team member per month to provide feedback, coaching, and address obstacles. Track themes or trends to support proactive leadership planning.
• Strategic Operations: Lead or co-lead at least one cross-departmental project focused on improving process efficiency or team collaboration (e.g., coordination with Production, Accounting, or IT).
• Operational Analysis and Presentations: Lead or co-lead at least one business plan preparation presentation to share with executive leadership.
