Opportunity Summary 

Intake Coordinator/Admin Assistant 

Tasks:

  • Assist with client intake and screening, including collecting, verifying, and documenting client information in data systems while maintaining confidentiality and ethical standards.
  • Support case managers with administrative and program-related tasks, such as preparing client files, organizing documentation, tracking referrals, and assisting with service coordination.
  • Conduct outreach and follow-up calls with clients to confirm appointments, gather missing information, and provide updates related to services and referrals.
  • Assist in resource navigation, including researching community resources, housing options, and public benefits to support client stability and self-sufficiency.
  • Participate in job shadowing and guided practice with intake coordinators and case managers to observe assessment, documentation, and service coordination processes.
  • Support data entry, reporting, and record maintenance to ensure accuracy and compliance with program requirements.
  • Attend and participate in staff meetings, trainings, and supervision, contributing to discussions and learning about program operations and best practices.
  • Apply trauma-informed, culturally responsive, and client-centered approaches when interacting with clients, staff, and community partners.
  • Assist with quality assurance tasks, such as file reviews, checklist completion, and ensuring required documentation is complete and timely.
  • Maintain professional communication through phone calls, emails, and in-person interactions with clients and community partners.

Training:

  • Students will receive an initial general orientation that includes an overview of the organization, programs, policies, confidentiality, and expectations. They will receive hands-on training through job shadowing with the intake coordinator and case managers to learn daily tasks and workflows.
  • Ongoing support will be provided through regular check-ins and one-on-one mentorship to review responsibilities, ask questions, and connect learning to practice. Students will also receive task-specific training, written guides, and work samples to support data entry, intake processes, and administrative duties. Training will be reinforced through observation, guided practice, and feedback.

    Practice effective communication with clients, staff, and community partners through phone calls, emails, and in-person interactions using trauma-informed and culturally responsive approaches.
  • Learn Program Operations & Compliance Standards
    Gain an understanding of nonprofit program operations, data tracking requirements, and compliance standards related to client services, confidentiality, and documentation.
