Opportunity Summary 

Client Onboarding & Data Management: Assist with onboarding new clients and updating existing client records within our CRM.

Marketing & Communications Support: Provide administrative support for website updates, social media coordination, and the creation of marketing materials and client correspondence.

Financial Planning Support: Assist with the setup of web-based financial planning profiles for client engagement (as delegated).

Client Interaction: Comfortable making and receiving phone calls with clients and prospective clients, demonstrating professionalism and strong communication skills.

Tasks:

Assist with the onboarding process for new clients by preparing intake materials, gathering required information, and supporting workflow completion in the CRM

Update, audit, and maintain existing client records in the CRM to ensure accuracy, completeness, and consistency across documentation

Organize client data and support internal data management processes, including tracking updates and confirming required fields are completed

Prepare drafts of client-facing correspondence and communication templates for review by the advisor (emails, letters, onboarding follow-ups, etc.)

Support website content updates by making edits to approved text, formatting, and layout changes based on assigned tasks

Coordinate and support social media content planning, including organizing posts, tracking scheduling needs, and maintaining brand consistency

Assist in the creation and organization of marketing materials (flyers, digital handouts, newsletters, informational documents) using firm templates and guidelines

Help set up web-based financial planning profiles for client engagement as delegated, ensuring correct inputs and completeness

Attend client-related meetings to observe client service workflows, professional expectations, and planning-related processes in real-time

Participate in weekly mentor meetings to review progress, reflect on learning outcomes, and receive structured feedback and coaching

Meet with the founder and advisor for project-based guidance on media/marketing initiatives, including timelines, deliverables, and how materials support client engagement and firm goals

Maintain a task log or progress tracker to document completed work, learning milestones, and ongoing responsibilities for evaluation purpose

Training:

Students will receive an initial general employer orientation to review workplace expectations, professionalism, confidentiality, and communication standards. They will be trained on the firm’s CRM system and procedures for onboarding new clients and maintaining accurate client records. Ongoing training will include job shadowing and guided practice in client onboarding, data management, and client interaction (including making and receiving professional phone calls). Students will also receive training and work samples related to marketing and communications tasks such as website updates, social media coordination, and creating client correspondence and marketing materials. As assigned, students will be provided instruction and step-by-step support for setting up web-based financial planning profiles to assist with client engagement.

In addition, the student will have exposure to client-related meetings to better understand real-world workflows, client needs, and professional standards in practice. Weekly one-on-one mentor meetings will be scheduled not only to review progress and provide feedback, but also to support media-related projects through check-ins with the founder and advisor, including guidance on project completion and how the work supports the firm’s broader goals and client-facing messaging.

Learning Outcome:

By the end of the academic internship, the student will be able to support client onboarding and CRM data management, assist with basic marketing and communications tasks (including website updates, social media coordination, and preparing client-facing materials), help set up web-based financial planning profiles as delegated, and demonstrate professional communication skills through effective phone interactions with clients and prospective clients.
