Opportunity Summary 

Tasks:

Support international students, visiting scholars, and exchange participants with front-desk, email, and virtual assistance, providing clear and timely information about programs, services, and campus resources.

Assist with new student onboarding and orientation (checklists, presentations, room setup, sign-in, follow-up communication).

Maintain and update International Office digital systems, including shared databases, spreadsheets, and student tracking tools to ensure accurate and up-to-date records.

Provide basic technical support for the office (e.g., troubleshooting log-in issues, helping staff navigate systems, coordinating with IT on tickets when needed).

Update and maintain International Office web pages and online resources, including program descriptions, deadlines, FAQs, and downloadable forms.

Help design and distribute digital communications (email campaigns, newsletters, and announcements) using tools such as mail merge or email marketing platforms.

Support data collection and reporting by generating lists, summaries, and basic analytics on student engagement, event participation, and program outcomes.

Set up and operate event and workshop technology (projectors, microphones, Zoom/Google, hybrid sessions, recordings, QR code check-in, etc.).

Assist with marketing and outreach by creating simple digital materials (flyers, slides, social media graphics) in tools like Canva or similar platforms.

Ensure responsible handling of student data and documents in line with institutional policies and privacy/security guidelines.

Collaborate with campus partners (Admissions, Registrar, Housing, IT, Career Services, etc.) to support international student success and resolve service issues.

Contribute to process improvement by documenting procedures, identifying inefficiencies, and suggesting more effective digital or automated workflows.

Training:

Weekly 1:1 Mentor Meetings: Scheduled weekly check-ins with the site supervisor to review progress on learning outcomes, address challenges, and receive feedback on active projects.

Professional Development Workshops: Access to campus-wide staff training sessions on topics such as diversity and inclusion, advanced Excel for data analysis, and digital accessibility standards.

Technical \\Sandbox\\ Training: A supervised period where the student can practice drafting newsletters and web edits in a test environment before \\going live.\\

Contextualized Task Overviews: Before starting any new technical task (like data reporting or web updates), the student will receive a briefing on the \\why\\ behind the task—connecting the administrative work to the broader mission of international student success.

Job Shadowing: One week of shadowing senior staff during front-desk interactions and virtual advising sessions to observe intercultural communication strategies in practice.

System Navigation Workshops: Hands-on training sessions for internal databases, and digital communication tools (e.g. Canva).

Learning Outcome:

Execute Cross-Cultural Advising: Demonstrate the ability to provide clear, empathetic, and accurate information to a diverse global population regarding campus resources and program requirements.

Manage Information Systems: Maintain data integrity within institutional databases and student tracking tools, ensuring 100% compliance with privacy and security guidelines.

Optimize Digital Communications: Design and deploy professional multi-channel communications (newsletters, web updates, and social media) using industry-standard tools like Canva and email marketing platforms.

Facilitate Hybrid Events: Independently manage the technical lifecycle of workshops and orientations, from initial setup and \\troubleshooting\\ to data-driven post-event reporting.

Analyze Process Efficiency: Identify bottlenecks in office workflows and propose automated or digital solutions to improve the international student onboarding experience.
