Administrative Assistant InternAt — Brain Wellness Institute
Assist the in-office Administrative Assistants with internal operation tasks, e.g. scanning and processing mail and insurance authorizations/referrals, printing and copying records and testing materials, data entry, organize and scan confidential client records. and other tasks as needed. Attend our weekly treatment team meeting every Wednesday at 12. This is a meeting where all of our providers meet to discuss relevant clinical, professional, and legal matters that impact the office's clinical work. Attend group supervision, which is held Wednesdays at 11 and is lead by a licensed clinical psychologist and is a time where our doctoral trainees and post doctoral fellows present and discuss cases.
Tasks:
1. Processing and scan incoming mail and checks
2. Preparing and logging testing folders for storage
3. Scanning, copying and printing records, reports and testing materials
4. Inventory office supplies and send email to order supplies
5. Attend treatment team and group supervision meeting (one or both) each Wednesday
6. Assist in reviewing insurance/medical group authorizations to determine the services a patient needs and forward to scheduling staff to reach out and book an appointment
Training:
1. Learning how to process mail
2. Attend treatment team and group supervision meetings (one or both) each Wednesday to develop skills beneficial for patient care
3. Learning how to break down a insurance/medical group authorization (cpt codes, dx code, units) and determining what services a patient requires
4. How to use and navigate the EHR platform Tebra
