Opportunity Summary 

JOB DESCRIPTION
Under immediate supervision, this position will perform a variety of confidential duties in support to the Safety and Risk Department. Position may assist on a variety of projects and programs and provide administrative support where needed.

CLASS CHARACTERISTICS
This is a temporary entry-level position for a college student intern to work no more than 900 hours per fiscal year, or no more than 29 hours in a 7-day period. Positions assigned to this level perform limited or routine administrative duties under close supervision and assist in a variety of safety and risk projects. Because employees in classifications at this level may be in a training capacity, such position does not require significant previous work experience in the applicable field

EXAMPLE OF DUTIES
Duties may include but are not limited to the following:
Assist on projects and duties related to training administration, project research, safety compliance inspections, data collection, and workers’ compensation
Perform general records management duties, including creating and maintaining files
Set-up training materials and training essentials
Process telephone calls and taking messages when necessary
Provide answers to general questions from the public/employees
Perform related duties as assigned

QUALIFICATIONS
Knowledge of:
Basic office procedures
Understanding of the of handling confidential information
Basic customer service principles
General filing techniques
Standard telephone techniques
Operational characteristics of word processing, spreadsheets, and database program computer applications
Proper work safety standards
Ability to:
Operate a computer and use programs including word processing, spreadsheets, and safety databases.
Provide clerical support and word processing assistance
Work in a highly confidential environment, respecting the privacy of employee/District sensitive information
Operate standard office equipment
Present professional image and communicate effectively with others, including the public; communicate effectively, both orally and in writing
Organize and work on simultaneous assignments with attention to schedules and deadlines
Establish and maintain effective working relationships with others
Comply with the District’s Safety, Health and Environmental policies

PHYSICAL REQUIREMENTS/WORKING CONDITIONS
The essential functions of this position may require the employee to perform the following physical activities:
Frequently use office equipment such as a computer, copier and FAX machine.
Must be able to carry, push, pull, reach and lift materials and objects up to 25 lbs.
Extended standing, walking, sitting, reaching, stooping, and bending.
Communicates verbally with District management, co-workers, and the public in face-to-face, one-on-one, and group meetings.
Regularly uses a computer, telephone or radio for communication.
Ability to speak and hear both in person, by telephone, and radio.
Vision within normal ranges with or without correction.
Work in a temperature-controlled office environment with moderate noise.
Occasional travel by automobile conducting District business.
Regular attendance.

Training:

During the first 2 weeks of the internship, they will complete mandatory District/State/Federal trainings. They will have weekly meetings with supervisor and/or peers.

Learning Outcome:

Assist with reporting accepted standards in training administration, project research, safety compliance inspections, data collection, and workers’ compensation.

Understand the processes involved in setting up training materials and training essentials in the Safety and Risk Department.

Have a complete understanding of the confidential duties performed by the Safety and Risk Department.
