Opportunity Summary 

The Administrative Assistant role at our headquarters in Escondido supports our front desk and volunteer services teams. This position is responsible for performing a wide range of administrative, clerical, front office, and special projects support duties in a professional, client-centered office environment. Responsibilities include direct customer contact including greeting clients, assisting with forms, connecting clients to appropriate staff, responding to basic questions regarding our programs and services while maintaining strict confidentiality, clear boundaries, and following policies and procedures for the agency and program. The position also supports special projects for our volunteer services team.

 

Key Responsibilities:

  • Function as support for program and volunteer services staff at our Escondido headquarters. This position is a combination of customer care, and basic administrative assistant duties.
  • Provide excellent customer service while interacting with clients, donors, volunteers, guests, staff, etc. over the phone (answer phones, transfer calls, take accurate messages), in person, and via e-mail.
  • Connect clients/guests with on-site staff and resources.
  • Inform on-site staff of clients who have arrived for scheduled appointments.
  • Perform front desk and office management duties including checking and sorting mail, managing supplies inventory, and filing, copying, and scanning documents.
  • Protect client/visitor privacy and confidentiality.

 

Qualifications:

  • Excellent interpersonal skills with the ability to easily work with a diverse population.
  • Demonstrate poise, tact, diplomacy and empathy when working with clients and visitors.
  • Proven clerical experience answering phones, photocopying, faxing, scanning, and filing.
  • Proficient with computer applications and databases (e.g., MS Office – Excel, Word, Outlook, PowerPoint; Web-based applications).
  • Excellent verbal and written communication skills including vocabulary, grammar and spelling.
  • Strong organizational skills.
  • Self-starter able to work with minimal supervision, and as an integral team member.
  • Detail-oriented with strong organizational skills.
  • Ability to prioritize and manage multiple, competing tasks and requests.
  • Enthusiastic with a willingness to learn.
  • Able to lift up to 20 lbs (accommodations made for those who cannot lift).
Opportunity Training 

• Volunteer Services provides general orientation on services and programs provided by Interfaith Community Services.
• Donor database training.
• Training on phone and computer system.
• Ongoing oversight from supervising staff to provide direction, training and feedback on specific program and department activities, procedures, priorities, performance, and agency updates.
