Accounting Volunteer InternAt — Anaheim Family YMCA
Job Description
This internship will be unpaid, but the Anaheim Family YMCA will gladly work with the intern to make the internship eligible for academic credit or professional experience. The internship will be 8-10 hours each week, days and times depending on the intern’s class schedule. Start date is determined once a candidate is selected.
Accounting Intern Tasks
- Accounts Receivable:
- Verify and record all incoming monies from the operations safe and checks received.
- Prepare appropriate spreadsheets and accounting system entries for all received monies.
- Reconcile and review donation database.
- Accounts Payable:
- Process/enter invoices on a weekly basis in accounting system.
- Ensure appropriate signatures and departmental review of invoices and checks processed.
- Manage appropriate record keeping of all payables.
- Administrative:
- Organize/manage filing system for Accounts Payable, Accounts Receivable, and other financial records.
- Assist Accounting Director/CFO with other projects/assignments as needed.

Safety/Risk Management
- Follow all health and safety practices and procedures of the YMCA at all times (See Volunteer Safety Agreement for department specific information)
- Hazard Communication-Notify any HR staff of any chemical spills or hazardous equipment or observation of other hazards in the office/work area.
- If an injury occurs, report it to any HR staff immediately to ensure timely treatment/follow up is provided.
Correspondence:
- Communicate in a professional manner and check spelling/grammar when writing emails or other correspondence
GENERAL EXPECTATIONS FOR VOLUNTEERS
- Volunteer Hours: Please notify Accounting/Finance staff member if you are not able to be volunteer at the times you are scheduled.
- Appearance: Please wear business casual attire while volunteering in the Accounting/Finance Department. Clothes and personal appearance should be professional, neat and clean. More casual business attire may be worn if volunteering on a Friday. (See Dress Code Policy)
- Accuracy: Assigned tasks should be to be completed accurately with careful attention to detail, and must be legible.
- Communication: Keep Accounting Director informed of progress, issues, and concerns regarding tasks assigned.
- Policies and Procedures: Do not revise/change policies or procedures. If you detect an error, notify Accounting/Finance Staff.
- Confidentiality: All matters pertaining to Accounting/Finance are to be held in the strictest of confidence. Only those in Accounting/Finance department are to be included in discussion of any confidential information about any task you work on. Consult with the Department Director when in doubt.
- Role Model: You are expected to be professional at all times and demonstrate cooperation and use respectful/constructive issue solving skills with all you come in contact with.
PHYSICAL REQUIREMENTS
The physical requirements described here are representative of those that should be met to successfully perform the essential functions of the volunteer position. While performing the essential functions, the volunteer must be able to see, hear, speak, sit, stand, walk, reach with hands and arms, use hands to finger, handle, or feel and write. The volunteer is occasionally required to balance and stoop, crouch. The volunteer should be able to stay on their feet for periods of time as needed (filing).

OFFICE ENVIRONMENT
The office environment characteristics here are representative of those a person encounters while performing the essential functions of this volunteer position. The noise level in the work environment is usually moderate but can become louder occasionally. The pace is rapid and multi-task oriented with short-notice/changing deadlines. Accuracy and thoroughness/follow-through is very important in this customer service oriented environment.

POSITION SPECIFICATIONS:
- Possess a professional demeanor to work effectively with all levels of staff.
- Ability to maintain confidentiality at all times.
- Have entry level proficiency in MS Word, Excel, Outlook, and Internet usage.
- Possess excellent verbal and written communications skills.
- Possess excellent organizational skills, ability to multi-task with attention to detail.
- Pass all required volunteer screening processes including a criminal background fingerprint check.
Training
We provide the Accounting Intern with a volunteer position description of the various duties they will perform in the Accounting Department. Accounting staff completely trains the Intern on each task and monitors their progress. As time permits, Accounting staff give additional tasks to work on when the Intern has mastered the previous tasks. We try to give them as much knowledge about working in Accounting for a non-profit organization as possible
