Opportunity Summary 

We are seeking an organized and detail-oriented Administrative Assistant to join our Senior Housing Management Group. This role involves managing office tasks, such as scheduling appointments, coordinating meetings and activities for tenants and maintaining records for senior housing operations. The Administrative Assistant will assist in preparing reports, handling resident inquiries, and supporting daily administrative functions to ensure smooth operations. Strong communication, multitasking, and problem-solving skills are essential, along with proficiency in office software. Here is a list of professional or pre-professional duties that the student will perform during the internship to demonstrate the achievement of learning outcomes:

1. Resident Communication and Support
- Respond to resident inquiries and concerns professionally via phone, email, or in-person interactions.
- Assist residents with completing forms or applications related to housing or support services.
- Facilitate connections between residents and community resources or programs that address their social, emotional, or physical needs.

2. Administrative and Documentation Tasks
- Manage resident files, ensuring all documentation is accurate, organized, and compliant with housing regulations.
- Assist in preparing and distributing notices, newsletters, and other communications to residents.
- Maintain and update databases for resident information, lease agreements, and service requests.

3. Event Coordination and Resident Engagement
- Help plan and coordinate resident activities or workshops that promote social engagement and well-being.
- Collect feedback from residents regarding programs and services to inform future initiatives.

4. Policy and Compliance Support
- Ensure adherence to housing policies by assisting with audits, inspections, or other compliance-related tasks.
- Review and familiarize themselves with federal, state, and local regulations related to senior housing.

5. Property Management Assistance
- Track and follow up on maintenance requests, collaborating with property management and maintenance teams to ensure timely resolutions.
- Support leasing activities, such as scheduling appointments, conducting initial intake interviews, or assisting with lease renewals.

6. Professional Development Activities
- Attend team meetings, workshops, or trainings to gain a broader understanding of senior housing management and human services.
- Shadow senior staff in their daily activities to observe and learn best practices.

These responsibilities ensure that the internship offers a rich learning experience while enabling the student to demonstrate their growth and alignment with the established learning outcomes.

Training:

During this placement, students will receive comprehensive training designed to facilitate the achievement of their learning outcomes. Training will begin with a mandatory general employer orientation, providing an overview of the organization’s mission, policies, procedures, and key responsibilities within senior housing property management. Students will participate in weekly one-on-one mentor meetings with their supervisor or designated mentor to discuss progress, address challenges, and receive constructive feedback.

Job shadowing opportunities will be provided to allow students to observe and learn from experienced staff members, gaining firsthand knowledge of administrative processes and resident engagement strategies. Students will also attend workshops or skills training sessions tailored to property management and human services, such as effective communication techniques, conflict resolution, and understanding housing regulations.

To further enhance learning, students will be given work samples and task overviews that contextualize their responsibilities, ensuring they understand how their work contributes to organizational goals. Supplementary resources, such as training literature, manuals, and case studies, will be provided to deepen their knowledge, and testing or reflective exercises may be incorporated to reinforce critical concepts.

This structured training approach ensures students acquire practical skills and theoretical knowledge to succeed in their internship and future careers.

Learning Outcomes:

By the end of the academic internship, the student will be able to demonstrate effective communication skills by professionally interacting with senior residents, staff, and external stakeholders, fostering a welcoming and supportive environment. The student will gain a thorough understanding of administrative processes in senior housing property management, including lease administration, compliance with housing regulations, and documentation management. They will develop problem-solving and conflict resolution skills by addressing resident concerns and collaborating with multidisciplinary teams to implement practical solutions. Additionally, the student will enhance their ability to identify and connect residents with community resources and support services, promoting resident well-being and quality of life.
