OPERATIONS DIRECTOR

RELATIONSHIPS:

REPORTS TO: Advocacy For Respect & Choice—Long Beach, Inc. Executive Director, Shea Matherly

SUPERVISES: Supply Supervisor, Trucking Supervisor, Administrative Supervisor, Bellflower Store Manager and Store staff (25 employees)

COORDINATES: With the Human Resources Administrator, Association Bookkeeper, and Accounts Payable staffer at AR&C

JOB-RELATED QUALIFICATIONS

· Same as those specified for the Store Manager, plus:

*Demonstrated excellence in Store Management and Administration

DUTIES:

· Oversees all soliciting, trucking, processing, pricing, and retail operations

· Assesses the thrift store industry in general and local competitors in particular, the local economy, evolving demographics, and pertinent regulation and legislation. Develops a Long-Range business plan (in consultation with the Executive Director), addressing actual and potential dangers, and emphasizing stability, profitability, and expansion. Assembles and employs the resources necessary to implement the plan

· Responsible for assuring compliance with all laws, regulations, and policies relating to the safety and well- being of donors, customers, and staff. Resolves their complaints, claims, and questions

· Oversees the proper handling, maintenance, and safeguarding of all cash receipts, assets, and disbursements, and the preparation, forwarding, or storage of supporting documentation. Ensures that all resources are used efficiently and economically. Negotiates leases, vendor contracts, and the purchase of assets

· Develops and regularly utilizes appropriate methods for analyzing the various operations, including personal inspection; sales, operational and evaluation reports; and quarterly financial statements. Reports regularly to the Executive Director of AR&C

· Develops appropriately challenging goals and then leads each unit in achieving them. Builds and maintains staff morale. Develops and refines operating, training, and evaluative procedures to accomplish goals

· Select, hire, evaluate, commend, discipline and promote employees.

· Handle all employee personnel issues

· Assist Supply Manager, Administrative Supervisor, Trucking Supervisor, and store manager as needed

Tasks:

· Working closely with staff to identify any personal or physical hardships which may prevent them from attaining personal achievement and work-related goals.

· Counseling and providing assistance / resources to struggling employees to maintain job satisfaction and security.

· Maintaining compliance with all laws, regulations, and company policies through workshops and on the job training.

· Resolve employee and customer complaints, concerns, and questions by adhering to company policies and procedures written in employee handbook.

· Work closely with the accountant to produce income statements from financial reports and report results to the board of directors.

· Build and maintain employee morale through rewards and incentives; created for meeting goals and time limits while eliminating deterrents.

· Develop and refine operating, training, and evaluative procedures to accomplish goals through keeping up to date with current practices.

· Select, hire, evaluate, commend and discipline all employees, through onboarding practices, written evaluations, written and verbal commendations, and applying disciplinary actions where needed.

· Developing a long-range business plan in consultation with the Executive Director, addressing current events, stability and profitability.

Training:

To facilitate learning outcomes, training the student will receive during this placement includes, but is not limited to:

1. General employer orientation

2. Weekly scheduled one-on-one mentor meetings with Executive Director

3. Bi-weekly scheduled one-on-one meeting with human resources administrator

4. Executive Director will ensure that the student / intern has access to tasks, projects or examples that demonstrate key skills, such as:

· Working on real assignments that reflect what they are being trained for

· Collect or document the student / intern contributions as proof of competency

· Give feedback on the student / intern’s work to help them improve

5. Attend workshops pertaining to skills training

6. Conceptualization of assigned tasks: Assessing the mental process of understanding, interpreting, and planning how to approach a task the student / intern has been given.

7. Understanding the objective: What is the end goal of the task? What does success look like?

8. Identifying key components: Breaking the task into manageable parts or stages.

9. Recognizing constraints: Time limits, resources, tools, or guidelines that shape how the task should be done.

10. Strategizing: Deciding on the best approach, tools, or methods to complete the task efficiently.

Learning Outcome:

By the end of the academic internship, the student will be able to:

1. Counsel and provide meaningful feedback and/or assistance to personnel experiencing hardships or personal health challenges which may affect their employment.

2. Effectively assure compliance with all laws, regulations, and company policies relating to the safety and well-being of donors, customers and staff. Resolving their complaints, concerns, and questions in a timely manner.

3. Develop appropriately challenging goals and lead employees to achieve their goals through bi-weekly “check-ins” on performance and deterrents that may be holding them back from achieving those goals.

4. Produce operational and evaluation reports.

5. Build and maintain staff morale.
