Museum Operations & Finance InternAt — Fullerton Museum Center
The Museum Operations & Finance Intern will join the Fullerton Museum Center team and gain hands-on, real-world experience supporting the administrative and financial functions of a dynamic cultural institution. This role focuses on membership processing, financial tracking, and day-to-day operational systems that support the museum’s programs and visitor services. The intern will work closely with staff across departments, contributing to the organization and efficiency of internal processes.
This unpaid internship is offered for the duration of the academic semester and is open to currently enrolled college students or recent graduates, whether or not academic credit is required.
Task:
Typical responsibilities may include, but are not limited to:
Manage and process museum memberships, ensuring accurate data entry and timely fulfillment
Track, organize, and support outgoing membership materials and communications
Digitize and maintain financial records, including scanning and organizing receipts
Input and reconcile gift shop transactions with attention to detail
Create and manage payment links through Square
Assist in compiling financial, membership, and operational reports
Provide support with grant tracking and documentation
Help maintain organized office systems, records, and internal databases
Collaborate with staff to support shared administrative and clerical functions
Contribute to the overall efficiency of daily museum operations
Training:
Students will receive structured, hands-on training designed to build both technical proficiency and a clear understanding of museum operations. At the start of the placement, interns will be oriented to the Fullerton Museum Center’s administrative systems, policies, and workflows, including an introduction to membership platforms, financial tracking tools, and internal databases. This onboarding will provide the foundational knowledge needed to navigate day-to-day responsibilities with accuracy and confidence.
Throughout the internship, students will receive guided training in key operational areas such as membership processing, transaction reconciliation, and records management. Staff will provide step-by-step instruction on tools such as spreadsheets, point-of-sale systems, and digital filing practices, with an emphasis on attention to detail, data integrity, and consistency. Interns will also learn how to create payment links, organize financial documentation, and support reporting processes, gaining practical experience with systems commonly used in nonprofit administration.
In addition to technical training, interns will be mentored in broader operational workflows. Through regular check-ins, shadowing opportunities, and collaborative tasks, students will learn how financial and administrative functions connect to exhibitions, public programs, and visitor services. They will be encouraged to ask questions, reflect on processes, and suggest improvements, fostering both independent problem-solving skills and a deeper understanding of how efficient systems support the museum’s mission and daily operations.
