Logistics & Operations Team Purpose:
This team is the behind-the-scenes backbone of Every Body Deserves Love (EBDL). From managing supplies and coordinating event logistics to transporting materials and setting up outreach booths, this team ensures every program and event runs smoothly and efficiently.
Key Responsibilities:

Coordinate event setup, breakdown, and on-site logistics

Manage inventory, storage, and distribution of EBDL supplies and merchandise

Oversee shipping, transportation, and vendor coordination for event materials and equipment

Maintain organization of EBDL’s storage unit and packing systems

Collaborate with all teams to ensure materials and tools are ready for workshops, fundraisers, and outreach booth

Supports overall event logistics, helping plan and execute setup, breakdown, load-in/load-out, and material prep. Ensures smooth flow and communication during live events.
\ud83d\udd39 Inventory & Supply Coordinator Intern
Tracks materials, manages inventory databases, and prepares supply kits for upcoming workshops, Self-Love Booths, and merchandise sales. Coordinates with other teams to anticipate needs.
\ud83d\udd39 Facilities & Transportation Intern
Assists with organizing the storage unit, preparing vehicles for events, managing vendor deliveries, and ensuring transportation needs are met for both people and materials.
Tasks:
Student Duties – Logistics & Operations Team (EBDL)
\u2728 Event Logistics Coordination
Assist in the planning and execution of event setup and breakdown for workshops, tabling events, and community outreach programs (e.g., Self-Love Booths, Cornhole Tournament, Wellness Days)
Follow and contribute to the creation of run-of-show documents, floor plans, and setup diagrams
Manage the loading, unloading, and transportation of event materials and supplies to and from venues
\u2728 Inventory Management & Supply Tracking
Maintain and update inventory databases and spreadsheets (Google Sheets or Airtable)
Prepare and organize supply kits and material boxes for events, workshops, and merchandise sales
Track outgoing and incoming materials, ensuring all supplies are accounted for and restocked as needed
Collaborate with the Communications Team to ensure accurate packaging and branding of materials
\u2728 Storage & Facilities Organization
Organize and maintain EBDL’s storage unit, ensuring safe, accessible, and labeled inventory systems
Conduct regular audits of supplies to ensure readiness and prevent shortages
Develop strategies to improve storage layout and inventory flow
\u2728 Transportation & Shipping Coordination
Coordinate transportation schedules and vehicle loading plans for event materials
Assist with delivery and pickup of items (with support/supervision if needed)
Research and manage shipping logistics for merchandise or resource kits sent to schools, donors, or event partners
\u2728 Cross-Team Communication & Support
Work closely with the Events, Communications, and Admin teams to fulfill operational needs before, during, and after events
Provide regular updates and status reports during team check-ins and mentor meetings
Support the team in troubleshooting logistical challenges or last-minute adjustments with flexibility and professionalism
\u2728 Documentation & Evaluation
Document logistics processes and provide feedback to improve systems
Participate in post-event debriefs to assess what went well and what can be improved
Contribute to the development of checklists, packing guides, and procedures for future interns or volunteers
