Event InternAt — Groot Hospitality

Opportunity Summary 

We are seeking a dynamic, organized, and enthusiastic Event Intern to join our Events & Hospitality team. This internship offers a unique opportunity to gain hands-on experience in event planning, coordination, and execution across a variety of upscale events in Miami—from private dinners and corporate gatherings to large-scale social functions.

Tasks:

Week 1: Orientation & Introduction
Welcome session and tour of the company/venues
Overview of company structure, mission, and brand standards
Introduction to the Events & Hospitality team
Review of internship goals, expectations, and schedule
Training on internal tools (CRM, scheduling software, email templates, etc.)

Week 2–3: Event Planning Fundamentals
Shadow Events Manager during client consultations and internal meetings
Learn how to create event briefs, timelines, and checklists
Training on venue layouts, capacity, and event flow
Introduction to vendor management and contract basics
Observe how to research and source vendors (catering, décor, AV, etc.)

Week 4–5: Administrative & Operational Support
Hands-on practice with RSVP tracking, guest list management, and event documents
Training in budgeting basics and invoice tracking
Assist with preparation of event materials (signage, place cards, agendas)
Introduction to post-event evaluation and reporting

Week 6–8: On-Site Event Execution
Assist with setup and breakdown of events (venue prep, vendor coordination, guest greeting)
Observe live event management and troubleshoot issues in real time
Learn time management and staff coordination during event execution
Debrief after events to reflect on successes and areas for improvement

Week 1-8: Independent Project + Mentorship
Intern leads the planning of a small-scale internal event or client proposal
Weekly check-ins with Events Manager for guidance and feedback
Continued exposure to advanced planning elements (permits, insurance, etc.)

Training:

Training will consist of:
1. Onboarding + Orientation
2. Weekly One-On-One Meetings
3. Training in venue with Operational Teams
4. Training with Sales teams on Planing Basics
5.Onsite Event Support to assist in venue event career development

Learning Outcome:

1.Gain hands-on experience in coordinating and executing events from concept to completion, including logistics, vendor management, timelines, and on-site operations.
