Opportunity Summary 

Provides administrative and operational support to the therapy practice, including assisting with client intake documentation, organizing records, supporting scheduling and billing workflows, and maintaining HIPAA compliance. May observe and shadow licensed clinicians during client sessions for educational and training purposes with proper client consent. Assists with special projects and general office operations as needed.

Tasks:

Assist with client intake processes, including organizing documentation, verifying required forms, and maintaining accurate digital records in compliance with HIPAA standards.

Support scheduling and workflow management by coordinating appointment calendars, confirming sessions, and assisting with telehealth setup and communication.

Observe and shadow licensed clinicians during client sessions (with proper client consent) to develop an understanding of therapeutic techniques, professional boundaries, and ethical practice.

Assist with basic billing and insurance-related tasks, including organizing claims documentation, tracking reimbursements, and supporting administrative staff with payment workflows.

Participate in case preparation and follow-up processes by organizing session materials, summarizing non-clinical observations, and assisting with continuity of care procedures.

Conduct supervised research and literature reviews on mental health topics, treatment approaches, and best practices to support clinical and administrative projects.

Support quality assurance and compliance activities by reviewing internal procedures, assisting with documentation audits, and helping maintain regulatory standards.

Contribute to special projects related to practice development, including outreach materials, workflow improvements, and operational efficiency initiatives.

Prepare professional reports and reflections documenting learning progress, task outcomes, and skill development throughout the placement.

Training:

Students will receive a comprehensive orientation and structured training program designed to support their learning and professional development. At the beginning of the placement, the student will participate in a general employer orientation covering workplace policies, confidentiality and HIPAA requirements, ethical standards, and administrative procedures.

Ongoing training will include scheduled weekly one-on-one meetings with a supervising clinician or administrative mentor to review responsibilities, discuss progress, and provide feedback. The student will engage in guided job shadowing with licensed clinicians and administrative staff to observe clinical sessions (with proper client consent) and office operations.

The student will receive hands-on training in intake procedures, scheduling systems, record management, and basic billing workflows through supervised practice and review of work samples. Training materials, reference guides, and policy documentation will be provided to reinforce learning.

Additionally, the student will receive contextual explanations for assigned tasks, participate in skills development activities as appropriate, and complete reflective reviews to connect practical experience with academic learning objectives.

Learning Outcome:

By the end of the academic internship, the student will be able to:

Demonstrate an understanding of clinical and administrative operations within a private mental health practice, including intake, scheduling, and documentation processes.

Apply confidentiality and HIPAA compliance standards when handling client information and participating in clinical support activities.

Effectively support billing and insurance workflows, including basic exposure to claims processing and reimbursement systems.

Observe and analyze therapeutic techniques and professional communication used by licensed clinicians during client sessions, with appropriate consent.

Develop professional workplace skills, including time management, ethical conduct, collaboration, and client-centered service.
