Role Overview
We are seeking a dependable, proactive, and versatile Hybrid Operations & Production Assistant to support both creative production/post-production workflows and the daily operations of a private campus spanning approximately two acres. This role is ideal for someone who enjoys a mix of hands-on physical work, administrative coordination, and supporting creative teams in a fast-paced environment.
The ideal candidate is organized, resourceful, detail-oriented, and comfortable balancing multiple priorities. This position offers strong growth potential for someone who demonstrates initiative, reliability, and high performance.
This role may occasionally require early morning, evening, or weekend availability based on production schedules, campus needs, or special projects.
Key Responsibilities
Production & Post-Production Support
* Serve as liaison between Production and Post-Production teams
* Assist Producers with shoot preparation and logistics
* Manage equipment, gear, and production supply requests
* Obtain releases and assist with scanning archival materials
* Review ingested footage and provide creative support (e.g., drafting EPK interview questions, script coverage, feedback)
* Manage project data including delivery specs, asset instructions, project resources, and client requests
* Gather assets from client-facing platforms and websites
* Perform clerical production duties such as taking/distributing notes, recording expenses, preparing call sheets, scheduling meetings, and preparing shipping labels
Campus & Operations Support
* Assist with general property and campus upkeep across a two-acre site
* Support basic maintenance tasks and coordinate operational projects
* Move supplies, equipment, furniture, or materials as needed
* Help maintain organized, functional workspaces, storage areas, and outdoor spaces
* Run errands using a personal vehicle (food runs, pickups, courier tasks, supply runs)
* Provide operational or occasional executive/personal support as needed
* Support general business and campus needs as they arise

* Familiarity with studio content security protocols such as MPAA and Trusted Partner Network

Tasks:
The student intern will perform a variety of professional and pre-professional duties designed to develop skills in production coordination, post-production support, operations, communication, and project management. The majority of responsibilities will involve substantive administrative, creative, and operational tasks requiring judgment, organization, and professional accountability. Duties may include:
Production & Post-Production Duties
* Assist with coordinating production and post-production schedules, calendars, deadlines, and deliverables
* Prepare call sheets, meeting agendas, notes, and production-related documents
* Track incoming and outgoing project assets, media files, and delivery specifications
* Organize digital files, shared drives, and project resources for team accessibility
* Review ingested footage for logging, organization, and internal creative reference
* Prepare script coverage, research summaries, or written feedback on assigned content
* Draft interview questions or supporting materials for electronic press kit (EPK) or promotional content
* Gather and organize client-facing assets from approved platforms and websites
* Support release collection, archival scanning, and production paperwork management
Administrative & Project Coordination Duties
* Schedule meetings and coordinate calendars for team members or leadership
* Maintain project trackers, task lists, status updates, and internal documentation
* Prepare shipping labels, coordinate deliveries, and monitor package logistics
* Record expenses, organize receipts, and assist with budget tracking systems
* Communicate with vendors, clients, or internal stakeholders in a professional manner
* Prioritize multiple assignments while meeting deadlines in a fast-paced environment
Operations & Workplace Management Duties
* Coordinate supply inventory and order requests for office or production needs
* Assist with organizing workspaces, storage areas, and operational systems for efficiency
* Support facilities or campus-related projects through planning, coordination, and task execution
* Conduct business-related errands such as supply pickups, courier runs, or material transport
* Assist leadership with operational logistics and day-to-day business support needs

* Participate in weekly supervisor meetings, progress reviews, and mentorship sessions

These duties are structured to ensure the student gains meaningful hands-on experience in a professional environment while demonstrating achievement of the internship learning outcomes.
Training:
Students participating in this placement will receive structured training and ongoing mentorship designed to support the learning outcomes of the internship. Training will include the following:
Initial Orientation & Onboarding
During the first week, the student will receive a general employer orientation covering workplace expectations, professional conduct, communication protocols, confidentiality, timekeeping procedures, workplace safety, and an overview of the company’s production, post-production, and operational functions. The student will also be introduced to team members, reporting structure, and daily workflows.
Role-Specific Systems & Tools Training
The student will receive hands-on training in the core platforms and tools used by the company, including Google Workspace for calendars, documents, spreadsheets, and communication; file organization systems; shared drives; and project tracking processes. Depending on assignments, the student may also receive introductory exposure to Avid Media Composer and Adobe Creative Suite to understand media workflow processes.
Weekly One-on-One Mentor Meetings
The student will meet weekly with a supervisor or designated mentor to review completed assignments, discuss current projects, receive feedback, ask questions, and set goals for the following week. These meetings are intended to reinforce learning, track progress, and provide career guidance.
Job Shadowing & Cross-Functional Exposure
The student will have opportunities to shadow staff involved in production coordination, post-production management, office operations, and facilities support. This will help the student understand how multiple departments collaborate to execute projects and maintain daily business operations.
Task Contextualization & Guided Assignment Training
Before receiving assignments, the student will be given background on the purpose of the task, how it fits into the larger project or business objective, expected deliverables, deadlines, and quality standards. Supervisors will model processes when appropriate and provide examples of completed work product such as call sheets, coverage notes, tracking logs, shipping forms, and organized file structures.
Skills Development Through Practical Work
The student will be trained through supervised hands-on assignments such as scheduling meetings, preparing production documents, organizing digital assets, reviewing footage for logging purposes, tracking deliveries, preparing shipments, coordinating supply runs, and assisting with workspace organization. Responsibilities will increase as competency is demonstrated.
Professional Communication & Administrative Training
The student will receive coaching on professional email etiquette, internal communication standards, note-taking, calendar coordination, vendor/client interactions, and maintaining professionalism in a fast-paced workplace.
Performance Feedback & Continuous Improvement
Supervisors will provide regular informal feedback throughout the internship, with additional midpoint and end-of-term performance discussions focused on strengths, growth areas, and progress toward learning goals.
Learning Outcome;
1. By the end of the academic internship, the student will be able to coordinate production and post-production workflows by preparing call sheets, scheduling meetings, organizing project files, tracking delivery deadlines, and managing equipment or gear requests.
2. By the end of the academic internship, the student will be able to support creative development processes by reviewing ingested footage, preparing script coverage, drafting interview questions for EPK content, and organizing client-facing assets for internal teams.

4. By the end of the academic internship, the student will be able to execute operational support responsibilities by coordinating campus tasks, organizing storage/workspaces, completing supply runs, preparing shipments, and assisting with facilities-related projects.
5. By the end of the academic internship, the student will be able to manage multiple priorities in a fast-paced environment by communicating updates clearly, meeting deadlines, solving day-to-day logistical challenges, and completing assignments independently with attention to detail.
