Office Coordinator At — Kapor Center

Opportunity Summary 

An exciting Office Coordinator opportunity is available for a talented, driven, versatile, and detail-oriented individual to become a member of our dynamic team. As an Office Coordinator, you will often be the first point of contact for the organization. You will handle the flow of people and incoming phone calls throughout the organization and ensure that all office operational responsibilities are completed with ease and delivered in a timely manner. The Office Coordinator will report to the Facilities and Office Services Director and provide comprehensive support to shared services. The ideal candidate isn't afraid to roll up their sleeves to help wherever needed, has a strong work ethic and the ability to handle multiple priorities with care. You will be the glue between Operations and programmatic areas, overseeing administrative and logistical aspects for our headquarters based in Oakland, CA. You have excellent interpersonal skills, pleasant phone manners, comfort with Google/G-Suite products and are interested in leveraging tech tools for social impact.

Responsibilities • Office Operations + Reception 80% • Welcome guests and manage Return to Office protocol • Maintain office security by controlling access via reception desk monitoring Envoy visitor software log-book and issuing visitor badges • Provide in-office support ranging from ordering office snacks, managing catering, taking care of mail, managing various office vendors, and executing on all general office management duties (i.e. maintaining daily electronic call logs, inspecting building and grounds daily, keeping updated records of office expenses, and overseeing conference rooms) • Maintain a welcoming environment that is productive, accessible, clean and fun for all Kapor Center, Kapor Capital and SMASH employees • Handle sensitive information and/or confidential documents and information with discretion • Respond to calls after hours to respond to possible emergency situations • Serve as main point of contact and backup to Facilities and Office Services Director and second lead on the emergency responses team • Must be able to work independently and exhibit initiative to solve problems, including tracking situations until appropriate resolution is achieved • Perform all of the above duties in a sincere, pleasant, customer service-oriented manner • Miscellaneous Support of Shared Services 20% • Assist with planning internal events, including happy hours, special office events and on-site meetings • Engage in local outreach activities (food/ clothing drives, etc). • Assist with on-site internal or external events when needed • Act as the Kapor Center cultural ambassador by recognizing employee birthdays, anniversaries, and other milestones • Foster relations and partner with cross-functional stakeholders and the broader People Operations team to think creatively about expanding upon Culture/People initiatives • Create a welcoming environment for new hires and manage new hire welcome packages • Serve as a member of the Fun Committee and provide as a resource for other organizational committee activation
